Common questions
Does the AI access patient medical records?
No. The Letters & Claims Drafting Pilot is configured to read only structured administrative fields — appointment dates, claim codes, patient reference numbers — that you explicitly select. Free-text clinical notes are outside scope unless you specifically request otherwise, in which case a separate, more detailed configuration review takes place.
How does the Admin Process Review work in practice?
We arrange a kick-off call with your admin lead, then spend one regular operating week on-site (or via remote session for smaller clinics). We observe scheduling, claims handling, and referral letter preparation, then write a brief summarising where AI drafting and summarisation could reduce repetitive paperwork. The brief also includes a PDPA-aware data inventory covering the fields involved.
We are a small GP clinic. Is this suitable for us?
The Admin Process Review is a reasonable starting point for smaller practices. Many small clinics find referral letter drafting and insurance claim preparation to be the two areas where AI assistance saves the most time. The four-week review will tell you whether the time saving would be meaningful in your particular context before you commit to a pilot.
What happens if the AI drafts something incorrect?
Every draft requires a staff member to read and approve it before dispatch. During the pilot, we also log near-misses — cases where a draft needed significant correction. These are reviewed in our weekly check-ins and become part of the guidance brief at the end of the six-week period. The Quarterly Stewardship service continues this review on an ongoing basis.
How is PDPA compliance handled?
PDPA compliance is built into every engagement. The Admin Process Review produces a data inventory that maps which personal data fields are touched. The pilot is configured to stay within that inventory. Quarterly Stewardship includes alignment checks whenever PDPA guidance or Ministry of Health circulars are updated.
What is the typical timeline from enquiry to start?
For the Admin Process Review, we typically begin within two to three weeks of an initial call — enough time to agree scope and arrange access. The Letters & Claims pilot follows the review or can start independently with a shorter scoping session. Most engagements are live within four to six weeks of first contact.
